Paediatric Collective Privacy Policy

Last updated: September 2026

1. About this Privacy Policy

Paediatric Collective respects your privacy and is committed to handling personal information appropriately and securely.

This Privacy Policy explains how Paediatric Collective collects, holds, uses and discloses personal information obtained through our website, referral pathway and communications.

Paediatric Collective operates primarily as an information and referral pathway connecting families and referrers with independent practitioners.

Practitioners listed through Paediatric Collective operate independently through their own practices. They are not employees, partners or agents of Paediatric Collective and are responsible for their own clinical services, records and privacy obligations.

This Privacy Policy applies to information collected and held by Paediatric Collective. It does not govern information independently collected and held by an individual practitioner through their own practice.

2. Personal information we collect

Paediatric Collective aims to collect only the personal information reasonably necessary to operate our website, manage enquiries and referrals and communicate with people who use our services.

This may include:

  • names
  • telephone numbers
  • email addresses
  • suburb, town and postcode
  • a child’s name and age
  • the relationship between a referrer and a child
  • the type of practitioner or service being sought
  • preferred practitioner, where applicable
  • anticipated funding type
  • information about how you heard about Paediatric Collective
  • correspondence and other information you voluntarily provide to us.

We may also collect limited technical information when you use our website, such as browser type, device information, IP address, website usage information and cookies.

3. Sensitive and health information

Paediatric Collective’s general referral form is not intended to collect medical records, diagnoses, clinical histories or other sensitive health information.

Users are asked not to provide this information through the referral form.

Where clinical or health information is required to assess or provide services to a child, this information should generally be collected directly by the independent practitioner providing those services.

If sensitive or health information is provided to Paediatric Collective inadvertently or through another communication, we will handle that information in accordance with applicable privacy requirements.

Where information is not reasonably necessary for Paediatric Collective’s functions or activities, we may delete or securely dispose of it where appropriate.

This fits the OAIC’s current guidance that organisations should minimise collection and that sensitive information ordinarily requires consent unless an exception applies. OAIC

4. Referral information

Paediatric Collective provides a central referral pathway through which parents, carers and professionals may seek connection with an independent practitioner.

Information submitted through our referral pathway may be used to:

  • receive and manage a referral
  • identify an appropriate type of practitioner
  • identify an available or suitable practitioner within the Paediatric Collective network
  • contact the person making the referral
  • provide relevant referral information to an appropriate independent practitioner
  • facilitate contact between the family/referrer and practitioner
  • administer and improve the referral pathway

Where a referral is made by someone other than the child’s parent or legal guardian, the referrer is responsible for ensuring they have appropriate authority to provide the information contained in the referral.

Paediatric Collective does not guarantee that a practitioner will accept a referral or that a particular practitioner will be available.

5. Independent practitioners

Practitioners listed on the Paediatric Collective website operate independently through their
own businesses.

When referral information is provided to an independent practitioner for the purpose of considering or accepting a referral, the practitioner may contact the family or referrer directly.

Once an independent practitioner collects information directly in connection with their professional services, that information is managed by the practitioner and their practice in accordance with their own privacy, confidentiality, record-keeping and professional
obligations.

Paediatric Collective does not own or control the clinical records maintained independently by practitioners.

6. How we collect personal information

We may collect personal information:

  • through our website and referral forms
  • through contact and enquiry forms
  • by email, telephone or other correspondence
  • through newsletter or resource subscriptions
  • directly from you
  • from a parent, guardian or authorised referrer
  • from a professional or organisation making a referral where appropriate
  • through website analytics and cookies

Where practicable, we collect personal information directly from the person concerned or from a person authorised to provide it.

7. How we use personal information

We may use personal information to:

  • manage referrals and enquiries
  • connect families and referrers with independent practitioners
  • communicate with you
  • operate and improve our website and referral pathway
  • administer services, programs or resources offered by Paediatric Collective
  • provide educational content, resources and updates
  • respond to complaints or enquiries
  • comply with legal obligations
  • protect our legal rights and interests.

We may also use information for another purpose where permitted by law.

8. Disclosure of personal information

We may disclose personal information where reasonably necessary to:

  • an appropriate independent practitioner for the purpose of considering or progressing a referral
  • service providers who assist us to operate our website, forms, email, information technology or other business systems
  • professional advisers, insurers or consultants where reasonably necessary
  • government authorities, regulators, courts or law enforcement where required or authorised by law
  • another person or organisation where you have authorised the disclosure

Paediatric Collective does not sell personal information.

We do not provide personal information to unrelated organisations for their own direct marketing purposes.

9. Marketing and educational communications

From time to time, Paediatric Collective may send information about services, programs, resources, educational content, events, products or other opportunities that may be of interest to you.

We may also send educational content, resources and practice updates periodically.

Electronic marketing communications will be sent in accordance with applicable Australian spam laws.

You may unsubscribe from marketing communications at any time using the unsubscribe facility provided in the communication or by contacting us.

We will process unsubscribe requests within the period required by law.

Unsubscribing from marketing communications will not prevent us from sending communications reasonably necessary to respond to an enquiry, manage a referral or provide a service you have requested.

Important: this wording preserves the marketing section you wanted but doesn’t claim that a referral automatically creates marketing consent. ACMA says consent is still required, and inferred consent depends on the circumstances and relationship. ACMA

10. Website and cookies

Our website may use cookies and similar technologies to support website functionality, remember preferences and understand how visitors use the website.

We may use third-party website, analytics or technology providers in operating the website.

You can manage or disable cookies through your browser settings, although this may affect some website functionality.

11. Storage and security

Paediatric Collective takes reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure.

Personal information may be stored electronically using website, email, cloud-based and other technology systems used by Paediatric Collective.

No electronic transmission or storage method can be guaranteed to be completely secure.

Where personal information is no longer required for a purpose for which it may lawfully be used or disclosed, we will take reasonable steps to destroy or de-identify it where required by law.

That last paragraph reflects APP 11’s current requirements. OAIC

12. Overseas storage and service providers

Some technology or service providers used by Paediatric Collective may store or process information outside Australia.

Where applicable, Paediatric Collective will take reasonable steps to comply with its obligations regarding overseas handling or disclosure of personal information.

Developer note: before publishing this section, confirm which systems are being used for the website, referral forms, email, hosting, analytics and mailing lists and where information is stored or processed. If overseas disclosure is likely, an APP privacy policy should identify the relevant countries where practicable. OAIC

I would not publish the current generic overseas wording until your developer answers that question.

13. Access and correction

You may request access to personal information Paediatric Collective holds about you or ask us to correct information that you believe is inaccurate, out of date, incomplete, irrelevant or misleading.

Requests can be made by emailing:
hello@paediatriccollective.com.au

We may need to verify your identity before providing access or making a correction.

There is no charge for making an access or correction request. Where permitted by law, a reasonable charge may apply to the cost of providing access, and we will advise you of this beforehand.

14. Privacy complaints

If you have a concern or complaint about the way Paediatric Collective has handled your personal information, please contact:

hello@paediatriccollective.com.au

We will consider the complaint and respond within a reasonable period.

If you are not satisfied with our response, you may be entitled to make a complaint to the Office of the Australian Information Commissioner (OAIC).

15. Independent practitioner privacy concerns

Privacy concerns relating to information collected or held independently by a practitioner in connection with their professional services should generally be directed to that practitioner or their practice.

The practitioner may also be subject to privacy, confidentiality, professional and regulatory requirements applicable to their profession.

16. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our website, referral pathway, business operations or legal obligations.

The current version will be published on our website with its most recent update date.
